Vendor FAQ’s


All vendors must be open for the entire duration of the festival. Vendors are welcome to stay open later on Friday and Saturday if they wish, but must close no later than 11 PM. Sunday you MUST close by 6 PM.

Bier Garten Hours: Friday 4 PM-11 PM, Saturday 11 AM-11 PM, Sunday 11 AM-6 PM

Wilkommen Platz (Kirkland Ave) Hours: Saturday 11 AM-7 PM, Sunday 11 AM-6 PM


There is no commission on sales. Booth Fees are paid within two weeks of registration. Power fees must be paid directly to Hollywood Lights.


Power is available to order through Hollywood Lights (Bier Garten Only). Any unique requests on power must be sent directly to them. If you are bring a generator, please include this information on your application. If you are concerned about needing power, email our staff. We often have creative solutions for vendors who only need a video feed, Point of sale or lighting.

By registering, you agree to all terms and conditions, and to follow all laws of the city, county, state and event organizers.

Application Process: Completed applications will be reviewed by Chump Change Productions Staff and an invoice will be issued the following business day. Payment in full is two weeks after registration is received, either by card through Quickbooks (this will come with the invoice), or by check, issued to:

Any applications received after August 7th are on a waitlist, and accepted based on availability.


Only the items and services on the application may be represented at the event. Food can ONLY be sold by a food vendor (including samples). The festival reserves the right to determine your category.

Booths, Tent Weights and Signage

Kirkland Oktoberfest is an outdoor event with some locations on concrete or grass. There are locations that are not level. Please be sure to indicate whether your on-site activation has specific needs in this case. Vendors must provide their own booths (tents), tent pole 25 lb weights capable of withstanding sustained winds of 40 MPH, equipment, signs. Kirkland Oktoberfest will take place rain or shine, please be prepared for all kinds of weather.

Signs must look professional, handwritten signs are not allowed. Please submit an image at application for an exemption. Only the Booth Name, as stated on the application is allowed on the signage. The Kirkland Oktoberfest name, logo, and theme are trademarked. Any use must be pre-approved by the Festival Office.

Load In/Load Out and Booth Numbers

Your booth area will be indicated on your invoice. Your exact booth location will be sent out one week before the event with the Load in/Load out information. You will be expected to meet your load in time, or walk your equipment in. Your vehicle will not be allowed on site except during your time.


Parking is not provided by the festival. You will have a narrow load in/out that your vehicle may be on the ground, then it must be removed. Absolutely NO parking in the Lakeshore Plaza (Marina Park) Bowl or Kirkland Avenue. We will be sending a parking recommendation map with your load in packet.

Hours of Operation

All vendors must be open at least the hours indicated for their zone. You may stay open later on Friday and Saturday if you wish, but MUST close at 6 PM on Sunday for load out.


The festival will provide overnight security. We recommend lowering your canopy, putting up walls and taking valuables with you (such as Point of sales systems, etc). You are welcome to leave large equipment stored safely on Friday and Saturday night. The festival does not accept responsibility for lost, damaged or stolen items.

Clean Up

All Vendors are responsible for all waste in their space. Dumpsters are provided and event staff can SHOW you where they are located. All booths, vehicles and Vendor debris must be removed from the Festival grounds by 8pm, Sunday, September 22nd. If booth space area is not left clean at the end of the Festival, Vendor will be charged a $100 Booth Space Clean-Up Fee.

Food Vendors

Power can be ordered separately from Hollywood Lights. You will receive additional information about this upon acceptance. All Food Vendors must send Chump Change Productions a copy of their King County Health Permit a minimum of 45 days in advance.

You will receive an acceptance email no later than August 9th.

August 7th: Submission Deadline

August 11th: Vendors can receive a 50% refund until 08/11.

August 23rd: Health Permit and Payments Due in Full

August 23rd: Last day to receive a partial (25%) refund.

September 9th-13th: Load in information and Booth Assignments emailed

September: 20-22 Kirkland Oktoberfest

September: 22 Load out

Refund Policy

Vendors can receive 50% refund until 08/11.

Vendors can receive a 25% refund until 08/23.

No refunds will be given after 08/23.
